Job Description

Accounting Administrator to maintain the administrative flow and organization of day-to-day office operations at a fast-paced accounting office with diverse client base. You will also serve as point of contact for customer service and invoicing as well as apply proven QuickBooks and Excel experience in support of the accounting team.

 

What You Will Do:

Customer Liaising:

  • Greet and communicate with customers with warmth, thoroughness, professionalism and service-mindedness whether in person or on the phone, and handle or refer inquiries.

  • Coordinate client document pickup and delivery.

  • Invoicing and Collections: Collect fees from clients upon work pickup and

  • ensure clients sign necessary documents (engagement letters, POAs, e-file docs).

  • Maintain office security by following procedures, monitoring the logbook, and issuing visitor badges.

 

Administrative Operations:

  • Keep lobby neat and organized, ensuring areas are swept and vacuumed between building cleanings.

  • Coordinate with phone service providers on technical problems and help troubleshoot to ensure resolution.

  • Refill and maintain supplies

  • Keep a log of all incoming and outgoing documents, noting date received/sent, who dropped off, description, and other pertinent information.

  • Maintain due date calendars and ensure deadlines are met.

  • Update and manage client mailing lists, address lists, and phone lists to keep all information current.

  • Perform scanning, filing, mailing, mail distribution, faxing, data entry, and word processing as needed.

 

Accounting Support:

  • Quickbooks support

  • Excel support

  • Quarterly reports and occasional extension filing

 

What You Will Bring:

  • Thorough Quickbooks and Excel knowledge as well as proficiency in MS Word, MS Outlook, and basic Windows navigation.

  • Strong Communication, customer service, and organization skills

  • Bilingual in Spanish is a plus but not mandatory.

  • Formal college training is a plus but not required.

  • Love of dogs!
