The Administrative Assistant provides administrative and operational support and reports to the Business Administration Support Unit. This position assists management by coordinating routine activities, supporting special projects, maintaining records, and ensuring effective communication within the unit and with external partners.


Primary Duties & Responsibilities
  • Provide administrative support to the assigned program area or division.
  • Perform and complete tasks and assignments that support management in organizing and executing routine activities and special projects.
  • Provide support and serve as a liaison with external organizations to gather and report program-related information.
  • Enter and maintain data from forms, records, reports, and other sources into computer systems to maintain databases, update directories, and support program tracking.
  • Provide program, administrative, and/or technical assistance by researching and resolving detailed program or client issues and preparing supporting documentation.
  • Conduct research using a variety of sources to compile, prepare, process, and generate reports and other documentation, or to respond to inquiries, questions, and requests.
  • Utilize computer software applications as tools to perform clerical and administrative assignments.
  • Monitor and maintain office supplies, equipment, and/or facilities for the assigned work unit or program area.
Skills and Qualifications
  • High school diploma/GED AND Three years of related experience (administrative/clerical); OR One year of experience required at the lower-level Admin Assistant 1 (GST050) or position equivalent.
  • Strong computer and technical skills, including proficiency in the Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and communication skills.
  • Excellent customer service skills.
  • Ability to build positive interpersonal relationships and effectively interact with the public.
  • Demonstrated decision-making and critical thinking abilities.
  • Ability to manage multiple tasks simultaneously and effectively prioritize workload.


Work Conditions
  • Work is primarily performed in an office environment during standard business hours. Limited remote work may be available in accordance with agency policy and operational needs.
