Job Summary:
Under general supervision, position provides administrative and clerical support to attorneys within one section of a division. Duties include but are not limited to using advanced word-processing skills to edit and preparing legal documents; preparing files for submission to courts; opening & closing case files; responding to and routing telephone calls; using legal related software to document attorney work & time, maintaining time & leave records for attorneys; maintaining case files, etc. This position may work closely with section s paralegal(s).

Job Duties:
- Prepares pleadings and other legal documents for filing with the courts and service on opposing counsel/parties
- Utilizes E-filing as designated by individual courts
- Answers telephone calls
- Takes detailed messages and/or routes telephone calls to appropriate personnel
- Responds when appropriate to calls from clients, attorneys, and citizens and provides general information or transfers calls to other divisions of the office as appropriate
- Prepares, copies, faxes, scans, emails and/or mails a variety of legal documents, correspondence, and other materials
- Prepares and types matter information on new cases in CMS
- Creates files for open matters
- Organizes and maintains filing systems of all relevant legal documents on matters/cases
- Maintains section files
- Handles incoming mail and packages for the section and/or division
- Prepares for delivery and sends outgoing documents, packages, and other materials to appropriate parties
- Conducts clerical research to respond to inquiries, questions, or requests
- Data entry to maintaining databases and reports
- Uses computer software to perform clerical assignments
- Attends section, division, and departmental meetings as required
- Closes files and coordinates the removal of closed files
- Transports closed files to storage area and boxes
- Handles logistics for closed files to send off site
- Provides assistance to other sections within the division with support duties when needed
- May monitor the use of and maintain an adequate inventory of office supplies and equipment for section s personnel
- May maintain records of leave balances for section personnel
- May work on organizational and other special projects as requested by section personnel
- May maintain and update contact information lists for the representative of the section s clients and may distribute those updated lists to attorneys on a regular basis
- May establish and/or maintain record-keeping and filing systems and/or reference manuals/materials
- May maintain calendars (including electronic calendars) and schedule appointments, meetings, and/or conferences of section personnel
- May make travel, lodging, and/or equipment arrangements for section attorneys related to court appearances, training seminars, etc
- Interacts with clients and contacts in a way that promotes respect, encourages cooperation, and contributes to excellent performance
Requirements:
- One (1) year of demonstrated experience performing advanced administrative and clerical task
- Experience with Microsoft Office applications in a legal environment including the ability to type approximately 40 words per minute (wpm)
- Ability to perform in a professional and confidential environment
