Role Description:
Compliance Program Assistant will receive communications (phone, email, media report, or assignment from staff) regarding affordable housing residential issues forwarded to the Office of Portfolio Management. CPA will determine if property is being monitored by Housing Finance and Development Division via the Emphasys platform. If residential concern is not related to a property, CPA should make a referral to the appropriate resource and inform resource of incoming call or to make outgoing call to resident. If no referral is made, CPA should provide resident with a standard list of resources.

If property is in portfolio, CPA will listen to full complaint without interruption, ask clarifying questions if/when appropriate, and determine whether it be a tenant/landlord dispute, Fair Housing complaint, or an issue requiring our involvement. If appropriate, CPA should refer resident to tenant/landlord brochure (with a link provided) or information regarding the Fair Housing Office, if appropriate. For potential fair housing complaints,
CPA should follow the below steps:
 
  • Forward any fair housing complaints via email
  • Code the complaint as Fair Housing or log it in a separate Fair Housing tracker

Many callers need information on locating affordable housing and can be provided a resource link or a list of resources for those experiencing or at risk of experiencing homelessness found on the Compliance SharePoint site. Note: Questions about how to best assist the caller should be referred to the Regulatory Program Specialist.

All issues involving tenants at properties in the  portfolio should be logged on the Resident Concern Log by CPA with details, resolution, or referral and date. Periodically, LRPS will meet with CPA to answer questions, bring light to recurring issues or share resolutions. CPA should bring up any concerns or delayed Resident Concerns at weekly or biweekly team meeting with LRPS.

Candidate Qualifications – Required:
 
  • Strong communication skills
  • De-escalation and phone etiquette
  • Customer service experience
  • Experience handling complaints, requests, or support tickets
  • 1-3+ in customer facing roles
  • Organization and multitasking
  • Basic tech proficiency (Microsoft Office Suite for tracking)
  • Fast learning/adaptability

Candidate Qualifications – Preferred:
 
  • Property management experience
  • Familiarity with property management or ticketing systems
  • Proven conflict resolution skills
  • Experience in high-volume inbox or call environments
